To provide the Services, we collect personal information about you from a variety of sources. The information we collect varies depending on whether you use Racket Panda as a player or as a club, and on how you interact with us.

In addition to the specific uses set out below, we may use information we collect to communicate with you, provide the Services, comply with applicable legal obligations, enforce our terms of service, and protect our rights and the rights of our users.

What Personal Information We Collect

The types of personal information we obtain depend on how you interact with our Site and use our Services. When we use the term "personal information", we mean information that identifies, relates to, or can be associated with you.

Information You Provide Directly

Information you provide directly to us may include:

• Account information: your name, email address, and password when you create an account.
• Profile information (players): such as your address or city, phone number, gender, the sports you play and your level, and a profile photo.
• Club information (club representatives): your club's contact details, your role at the club, and verification information when you claim or manage a club page.
• Content you create: reviews, event RSVPs, saved (favourite) clubs, and similar activity.
• Payment information (clubs only): when a club subscribes to a paid plan, billing information is collected and processed by our third-party payment processor. We never store full card details on our servers.
• Support information: the content of communications you send us.

Some features of the Services may require you to provide certain information. You may choose not to provide it, but doing so may prevent you from using those features.

Information We Collect through Cookies

We also automatically collect certain information about your interaction with the Services ("Usage Data") using cookies, pixels, and similar technologies. This may include information about your device, browser, network connection, and IP address.

Information We Obtain from Third Parties

We may also obtain information about you from third parties, including:

• Providers that help us operate our Site and Services (hosting, authentication, analytics).
• Our payment processor, which handles payments for clubs' paid subscriptions.
• Online tracking technologies (pixels, web beacons, cookies) used when you visit our Site or interact with our emails.

Any information we obtain from third parties will be treated in accordance with this Privacy Policy. We are not responsible for the accuracy of information provided to us by third parties.

• Providing the Services. We use your information to create and manage your account, display club pages, enable favourites, reviews, and event RSVPs, and send you service-related messages (for example, event changes or cancellations, waitlist promotions, and club claim status).
• Club Subscriptions. When a club subscribes to a paid plan, we process the payment through our payment processor and manage that subscription.
• Marketing and Communications. With your consent or where permitted by law, we may send you product updates, tips, and occasional promotions. You can opt out at any time.
• Security and Fraud Prevention. We use your information to detect and prevent fraudulent or malicious activity.
• Communicating with You. We use your information to provide customer support and improve our Services.

Like many websites, we use cookies on our Site to improve your experience, remember your preferences, and analyze interactions with our Services. Third parties may also use cookies on our Site.

Most browsers accept cookies by default. You can choose to remove or reject cookies through your browser settings, but this may affect some features of the Site.

In certain circumstances, we may disclose your personal information to third parties, including:

• Providers that perform services on our behalf: Vercel (hosting and analytics), Supabase (database and authentication, servers in Frankfurt), Stripe (payment processing for club subscriptions), Resend (email delivery), and Mapbox (mapping). Mapbox stores an anonymous device identifier in your browser when a map loads, for usage measurement and billing.
• When you make information public, such as reviews you post, which are visible to anyone.
• In connection with a business transaction such as a merger or acquisition, to comply with legal obligations, or to enforce our rights.

We do not sell your personal information. We do not use sensitive personal information to infer characteristics about you.

Racket Panda is based in Switzerland, but your data is not processed only in Switzerland.

• Our database and authentication (Supabase) are hosted in Frankfurt, Germany, so within the European Union.
• Static pages are delivered from Frankfurt, but the server processing run by our hosting provider (Vercel) executes in the United States. This covers any request that reads or writes data.
• Stripe (club payments), Resend (email delivery) and Mapbox (mapping) are US companies and may process data in the United States.

The United States is not covered by a general Swiss adequacy decision. These transfers rely on the contractual safeguards in our data processing agreements with each provider, in particular standard contractual clauses.

The Services may enable you to post reviews and other content. Any content you submit in public areas of the Services will be accessible to anyone.

We do not control who will have access to information you make public and cannot ensure that third parties will respect your privacy.

A club managing its page may import a list of its members (first name, last name, email address, language, and the categories the club defines itself) so that certain events can be reserved for members and announcements can be sent to them. For this data the club is the controller and Racket Panda acts solely as a processor, on the club's instructions.

These lists are accessible only to that club's approved administrators, and to Racket Panda for support and maintenance purposes alone. The restriction is enforced at the database level. A member list never appears on any public page, in any search result, or in any export.

This data serves two purposes, both decided by the club: checking, when someone signs up for a members-only event, whether that person is on the list; and delivering the announcements the club writes and sends to its own members (tournaments, AGM, club news).

Racket Panda never writes to the people on these lists on its own initiative. We do not use them for any marketing or analytics of our own, we do not track opens or clicks, and we never share or sell them. Appearing on such a list does not create a Racket Panda account.

Every announcement a club sends carries a one-click unsubscribe link. An unsubscribe is honoured for that club permanently, without deleting your membership record with them.

The club can delete a member, or its entire list, at any time from its dashboard. If you are a club member and want your data removed, contact your club or contact us and we will pass the request on.

Our Site contains links to third-party sites, including clubs' own websites and booking systems. If you follow these links, we recommend reviewing their privacy policies. We are not responsible for the privacy practices of those sites.

The Services are not intended for children, and we do not knowingly collect personal information about children. If you are the parent or guardian of a child who has provided us with their personal information, please contact us to request that it be deleted.

As of the effective date of this Privacy Policy, we have no actual knowledge that we share or sell personal information of individuals under 16 years of age.

No security measures are perfect. We recommend that you do not use unsecure channels to communicate sensitive information to us.

How long we retain your information depends on factors such as whether we need it to maintain your account, provide the Services, comply with legal obligations, or resolve disputes.

Depending on where you live, you may have some or all of the rights listed below in relation to your personal information. These rights may not be absolute and may only apply in certain circumstances.
